5. Abstract Submission

5.1 Rules for Abstract Submission

Abstracts must be submitted for invited as well as for contributed papers. Abstracts must be written in English and in the specified format. Abstracts not fullfilling the rules may be rejected without further consideration. Abstracts must be submitted to a specific Parallel Session. The assignment of general contributions will be coordinated by the Scientific Organising Committee.
The Convenors may designate contributed papers to oral or poster presentation. Convenors have also the authority of rejecting abstracts or recommending them to a different Parallel Session.
Accepted abstracts (i) will be reproduced in the "Conference Abstracts Book" and in the Conference WWW pages, and (ii) will be presented during the Conference in the form and on the time assigned by the Convenors.

Important note: The abstracts must be submitted:
(a) to the Local Organising Committee, and
(b) to the appropriate Convenor, before 18 of April, 1997
.

Abstracts submitted after this date will not be included in the "Conference Abstracts Book" .
The Local Organising Committee will appreciate submissions in electronic form, (mainly E-mail) rather than in printed form, as this considerably simplifies and speeds up handling. In this case, please use the TeX/LaTeX format specified in section 5.4 .
If you do not have the possibility to use the electronic form, you are, of course, welcome to submit an abstract by post. Then it must be typed following in detail the instructions in section 5.3 .

5.2 Submittal information

The following information should be submitted to both the Local Organising Committee and the relevant Convenor .
  1. Name, full address, telephone, fax and E-mail of person responsible for correspondence
  2. Parallel Session for which your contribution is intended
  3. Projection or other equipment required besides the standard overhead and slide projector
  4. Preference of oral or poster presentation. The final form will be decided by the Convenors
  5. Notification whether the author has applied for financial support

5.3 Instructions for Preparation of Camera-Ready Abstracts

Title should be in lower case bold type

A.B. First, C.D. Second and E.F. Third

First Groupped Address
Second Groupped Address

Title, as well as authors and their addresses (author block) , should be centered. Leave one blank line after title. Authors: give initials (with punctuation) followed by last name. Type name of authors and address in upper and lower case letters. Underline the name of the author who will present the paper. Leave one blank line after the author block . Do not indent this first text paragraph.

Do not leave blank lines between text paragraphs, but indent the first line of a new paragraph.

An abstract should not contain more than 300 words (including articles and small words). If you work with a printer where you can select font and size, use Times or similar 12 point . Neatly drawn symbols, Greek letters, or other camera-ready characters are acceptable, but avoid using such in the title, if at all possible. If you are submitting an abstract in camera-ready format, please stay within a 15.5 x 21 cm boundary (including title and authors block ). Use single spacing.

When submitting an abstract in TeX format, do not use special definitions or macros.

Should you find the allocated space too small for what you would like to include in the abstract, consider deleting unnecessary words. Do not reduce font size, or line spacing.

Do not forget to provide on a different page the submittal information requested in section 5.2 .

6. Technical Exhibition

The Technical Exhibition is an important, integral part of the Meeting. The exhibition will take place at the entrance courts of the hotel. Astrophysics and Astronomy related exhibitors may take advantage of the gathering of participants, including many decision makers coming from different corners of the world, to demonstrate their new technology, new instruments and equipment, as well as their newly issued publications.

7. Transportation

7.1 Traveling to Thessaloniki

By air: There are many direct flights to the "Macedonia" airport of Thessaloniki from most European airports. Also there are many daily flights to Thessaloniki through Athens airport.
By train: There are daily arrivals to the Thessaloniki railway station from Athens and most central and eastern European cities.
By car: Thessaloniki can be reached by road through former Yugoslavia or by car/ferryboat/car through the harbors of Trieste/Venice/Ancona/Bari/Brindisi to Igoumenitsa or Patras.

7.2 Getting to the Conference Location

One can get from Thessaloniki to the Conference location (Hotels "Athos Palace" and "Pallini Beach" near the village of Kallithea, Chalkidiki) by bus (ticket price 1700 GDr = US$ 7) or by taxi (taxi fare - up to four persons without excessive luggage- about 14000 GDr = US$ 55).

Getting to the Thessaloniki bus station for Chalkidiki
You may reach the bus station at the following address: Karakasi 68, tel. 924444,5
-from the "Macedonia" airport: by taxi (taxi fare about 2500 GDr = US$ 10)
-from the railway station: by taxi (taxi fare about 1500 GDr = US$ 6) or by the bus No 10, direction " CHARILAOU - (ticket price 75 GDr = US$ 0.5)

During the principal days of arrival and departure, shuttle busses will be operated by the Local Organising Committee in order to transport the participants between the airport or the railway station and the Conference location.
More details about transportation will be included in the third announcement of the Conference, which will be sent to all registered participants in early June. Please check the Conference Web page for updates.

8. Insurance

All insurance is the responsibility of participants. It is strongly recommended that overseas participants arrange their own health and accident insurance.

9. Important Note on Hotel Reservation

The broader district of Thessaloniki including Chalkidiki Peninsula offers several attractions and is well known in Greece as a summer resort area. During the summer months hotel accommodation is usually in high demand and often expensive. The situation is expected to be exaggerated during 1997, while Thessaloniki is the Cultural Capital of Europe . Therefore early hotel reservation of the potential participants is highly recommended.

Please note that the Local Organising Committee cannot guarantee reservations after April 10, 1997. Payment for the accommodation of at least one day is necessary for the reservation .

10. Financial assistance

The Local Organising Committee is working hard towards obtaining local financial support for the Conference. However, since not enough funds are expected to be available, a limited number of free accommodation and subsidence will be allocated according to a priority list proposed by the Convenors. The Local Organising Committee will continue working hard to increase the number of the individuals to be supported until the date of the Conference. Nevertheless, it is strongly recommended that the applicants for financial support should try simultaneously to find alternate sources of financial assistance. Applications received after the deadline of "Abstract Submission" (April, 18, 1997) will not be considered for financial assistance.

11. Entry Formalities

No visas are required for visitors from the European Union, USA, Japan and certain South American countries. For all other countries visas are available on a mutual agreement basis. However, it is advisable that the participants contact the Greek Embassy or Consulate of their country to make sure for the precise procedure they have to follow in order to get a visa. Health certificates are required from visitors coming or traveling through infected areas, in accordance with World Health Organisation requirements.

12. Social and Cultural Events

As we have already mentioned in the first announcement, the City of Thessaloniki and its surroundings offer a wide variety of sights and activities, ranging from world-class culture (archeological sites, museums, exhibitions) to a variety of entertainment, cuisine and natural wonders. Closeby lies Mt.Athos, well known for its monasteries and Byzantine treasures. Olympus, the mountain of gods, is less than a couple of hours drive from Thessaloniki. We are organising a limited number of Excursions for accompanying persons and participants being out of Conference duties. Further Excursions can be organized on demand.

Daily Excursion to Thessaloniki (*) July 3, 1997 8500 drachmas per person
Daily Excursion and Cruise around Mt. Athos July 4, 1997 5000 drachmas per person
Daily Excursion to Vergina July 5, 1997 2500 drachmas per person
Daily Excursion to Mt. Olympos July 5, 1997 3000 drachmas per person

Greek folk night July 4, 1997 6000 drachmas per person
(*) Visit to the Archaeological Museum and the Mt. Athos Treasures Exposure.

The current exchange rate is: 1 US$ = 260 drachmas (GDr)

The Local Organising Committee will appreciate pre-registration for Social and Cultural Events, as this will aid their smooth organisation.
